HFG Program Assistant

Job Summary

The Foundation seeks a dynamic individual interested in working with a leading private foundation to assist with program administration and communications efforts. The Program Assistant will support staff with the administration of the Foundation’s grants and fellowships, as well as events, conferences, and publications. The ideal candidate for this position is proactive, well organized, highly motivated, and able to multi-task. The Program Assistant will work closely with and report to program staff. They will be a key member of a small, mission-driven team and will have opportunities to take initiative in research areas. This role is an excellent opportunity to experience various aspects of program implementation and communications strategy in a dynamic non-profit work environment.

About the Foundation

The Harry Frank Guggenheim Foundation (HFG) examines enduring and urgent problems of violence, such as war, crime, and human aggression. Through basic and applied research, we aim to understand the causes, manifestation, and control of violence. We support the production of this knowledge and disseminate it to inform policy, practice, and public discourse. 

The Foundation awards research grants to support distinguished and emerging scholars studying matters of violence in the United States and around the world. We likewise conduct and commission original research and publish relevant research and policy reports. We host conferences, research seminars, and public conversations on topics of violence, often in collaboration with peers in academia, philanthropy, and civil society.

Programmatic Responsibilities

  • Monitor and coordinate workflow in online grants management system,
  • Review grant applications with program staff,
  • Maintain communication with current and former grantees involving progress updates, reports, and requests for grant modifications,
  • Oversee communication with prospective grantees.

Administrative Responsibilities

  • Monitor incoming mail and make preliminary decisions as to appropriate action,
  • Organize and maintain paper and electronic files,
  • Support event and conference preparation and implementation,
  • Manage programmatic, editorial, and events calendars,
  • Help maintain and update HFG contact database,
  • Support administrative audit, account management, and other finance-related tasks.

Communications Responsibilities

  • Assist in planning and roll-out of e-newsletters,
  • Assist in updating organization website with current events, relevant news, etc. (WordPress),
  • Assist in the maintenance of HFG’s social media presence, including daily monitoring, posting, scheduling, and reporting (Twitter, Facebook, and LinkedIn),
  • Support outreach strategies.

Qualifications

  • Undergraduate degree required
  • Strong writing, editing, and communication skills
  • Excellent organizational, analytical, and interpersonal skills
  • Solid knowledge of Microsoft Office
  • Ability to work well both independently and within a team
  • A firm grasp of the organization’s mission
  • Experience with social media tools and platforms, including Twitter Facebook, LinkedIn, Mailchimp, Hootsuite, etc.
  • Prior work or academic experience within or directly relevant to a field of violence, in research, writing, or programmatic position a plus
  • Knowledge of HTML and website content management a plus
